A card declines. The dollar comes back.
Cards expire, banks get cautious, balances run short — some slice of every studio's auto-pays misses each month. It's the quietest leak in the business, because chasing it is nobody's favorite job. Xyzios makes it a finished piece of work waiting for your approval.

How do you recover failed membership payments?
Follow up within days, kindly, every single time. Xyzios sees a membership fall into payment failure the day it happens, opens a case, drafts a short no-blame note for your approval, and keeps the case on an aging list until it resolves. Your booking platform keeps charging and retrying; Xyzios never touches the payment.
A worked example: 240 members at $189 a month with 3% of auto-pays failing. Illustrative, not a benchmark — put your own numbers in →
The pain
The decline list lives in a billing screen someone checks when things are quiet — and the front desk is never quiet. A payment nobody chases within days quietly becomes a canceled member within weeks, and the write-off never even gets a line in the books.
What Xyzios does
Watches membership status in your booking platform. The day one falls into payment failure, the case opens: the member outreach is drafted in your studio's voice, waiting in your Approvals inbox, and the case stays on an aging list until the dollar lands or you close it on purpose.
What changes
Recovery stops depending on who remembered to check the screen. From what we see across the studios we run and work with, systematic follow-up recovers roughly double what ad-hoc chasing does — and your version of that number stops being a guess, because the ledger traces every recovered dollar to the action that saved it. The window is days, not weeks.
A member whose card stopped working almost always wants the membership to keep working. The nudge helps them, which is why this is the one outreach that is always safe to send — if it is sent while the miss is still fresh.
- Spotted the same day, so the note goes out while it is an easy fix

From decline to dollar, with you in the loop.
Spotted
A membership that falls into payment failure shows up on your board the day it happens, not at month-end. Whatever the cause, each one becomes a case.
Drafted
The follow-up is written for you: short, warm, in your studio’s voice. It assumes the innocent cause, never names an amount, and never threatens access.
Approved
Every draft waits in your Approvals inbox. Edit it, reject it, or approve it. Approved messages send from your studio’s own email. Nothing reaches a member without you.
Traced
Twenty-one days later the ledger checks the membership. Active again, and the dollar is recorded as collected, dated and traceable. It runs the same for a yoga studio and a cycling studio.
An aging list, so nothing is written off in silence.
Every open case sits on one list with its age beside it. A case leaves the list two ways only: the membership comes back to active, or you close it on purpose.
- Newest misses first, because they are the easiest to fix
- The state of each case in one word: drafted, sent, recovered
- Recovered dollars summed for the month, and traced in the ledger

What the recovery play does, and what it never does.
It does
- Spot a membership in payment failure the day it happens
- Open a case and keep it on an aging list until it resolves
- Draft a short, kind note that assumes an innocent cause
- Send from your studio’s own email, only after you approve
- Record a recovery as collected, once it has actually held
It never does
- Process, retry or touch a payment — that stays in your booking platform
- Name an amount, or threaten a member’s access
- Guess why a payment failed
- Chase a failure older than fifteen days, or one that pre-dates your connection
- Write the same member twice inside 45 days
A recovery is “collected”, and it is checked once.
This is the ledger's firmest tier: real money, never inferred. It counts a recovered dollar three weeks late, and only if the member is still paying. How the ledger counts, in full →
The line opens as actioned. A rejected draft never earns, even if the member pays anyway.
The membership is read from your booking platform. Active again: the dues are confirmed as collected, dated that day.
Still failing or gone: the line expires and stays on the ledger, because the misses are part of the proof.
Runs on the platform you already use.

What owners ask about payment recovery.
Does Xyzios process or retry the payments?
No. Payments stay in your booking platform, which keeps charging and retrying exactly as it does today. Xyzios adds the layer platforms don’t: spotting every miss the day it happens, drafting the member outreach for your approval, tracking each case to resolution, and tracing every recovered dollar in the ledger.
Which booking platforms does this work with?
Mindbody and Mariana Tek. Payments, retries and billing stay in your booking platform exactly as they are today; Xyzios reads the result, drafts the follow-up for your approval, and traces what comes back.
What does the outreach actually look like?
A short, human message in your studio’s voice — not a dunning notice. It assumes an innocent cause, never names an amount and never threatens access. It waits in your Approvals inbox; you can edit it, reject it, or approve it, and approved messages send from your studio’s own email. Nothing reaches a member without you.
What happens if a member never pays?
You’ll know — which is the point. Every failed payment sits on an aging list until it’s resolved or you close it deliberately. Nothing gets silently written off, and the pattern (which memberships, which locations) is visible instead of folklore.
How old a failure will it chase?
Fifteen days by default, and you can change that. A failure older than that was almost certainly handled by your team already, and a second nudge annoys more than it recovers. Members who were already failing on the day you connected are never proposed at all.
Will a member get more than one note?
One at a time, and not again for 45 days. If the same member fails again months later, that is a new case and it is treated as one.
When does a recovered payment count?
Once, 21 days after you approve the note, and only if the membership is back to active on that day. Then it is recorded as collected, dated, and traceable to the member and the message. If it is not active, the line expires at $0 and stays on the ledger.
How much revenue is this, really?
In our experience across our own studio and the studios we work with, systematic follow-up recovers roughly double what ad-hoc chasing does — and every recovered dollar is revenue you already earned. Your own number depends on your decline volume; the ledger measures it instead of estimating it.
The rest of the leak.
It's not new revenue. It's yours, recovered.
